Terms & Condition

Himalayan Sherpa World Expedition (P.) Ltd is a well known government licensed trekking and expedition agency in Nepal and accepts your bookings under the following terms and conditions.

 

01. BOOKING & DOWN PAYMENT

Final booking with passport copies and full contact address, are requested to provide us as early as possible to avoid difficulties at last minutes` arrangement for flights, permits and all ground handling.

  • Advance Payment: To secure place, down payment is required to make in advance as per the company policy and sent by bank transfer to our bank A/C.

  • Final Payment: 100 % trip payment is required to be made 15 days prior to start the trip.

 

02. HOW TO PAY YOUR DEPOSIT
We except Traveler's Cheque / Wire Transfer / Visa or Mater Card / Western Union / Cash - US Dollar - Euro - Pound - Japanese Yen - Hong Kong Dollar - Australian Dollar - Singapore Dollar - Etc.

03. PAYMENT BY CREDIT CARDS
Visa and Master cards are widely accepted in Nepal. So they are our preferred credit cards. American express, JCB and other major credit cards are also accepted but at times they are less convenient. Please check with us before payment.
For payment by credit cards, you can scan and mail us a signed authorization form with your card number, expiry date, CVV2 code, photocopies of both sides of your credit card and the copy your passport pages containing your personal details and your signature and payment amount.


Note that you are supposed to pay the bank charges (3.5% in Nepal) while making payments by credit cards by yourself. Download Credit cards payment authorization form:

04: PAYMENT OF THE BALANCE
The payment for the outstanding balance of for your tour / trek is due 7 weeks prior to your departure date. If you choose to settle your tour / trek balance by credit card a handling charge of 3% on the outstanding balance is made. There is no handling charge for payment by cheque or bank transfer.

 

05. LAST MINUTE BOOKING
We accept your last minute booking with 100% payment (07 days prior to tour starting date ONLY IN CASES OF NEPAL TRIPS, but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR INDIA, BHUTAN AND TIBET TRIPS).

 

06. CANCELLATION & REFUND

  • 30 % cancellation fee will be charged for `confirmed booking` the trip if you cancel the trip within 30 days prior to start the trip.
  • 50 % cancellation fee will be charged if you cancel trip within 15 days prior to start the trip.
  • 75 % cancellation fee will be charged if you cancel the trip within 10 days prior to start the trip.
  • No refund, thereafter (less than 7 days), also for no-shows, delay arrival or political unrest/sudden strikes

 

07. SUPPLEMENT CHARGE
On our trekking and tour packages, rooms or tents are provided in twin sharing basis. Thus, single room supplement charge will be imposed to client who does not have another tour participant to share room / tent with.

 

08. INCOMPLETE TOUR
No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary.

 

09. AMENDMENT IN TOUR COST
We reserve the right to revise pricing rate posted at our website, under any circumstances, or on the pressure of various external factors that are further than our control, for instance changes in exchange rate, government action etc. But, we put forth effort to keep on the present rate.

 

10. UNFORESEEN CIRCUMSTANCES
If Himalayan Sherpa World Expedition (P.) Ltd cancels your trip thanks to unforeseen circumstances like war, natural disasters, conflict, unfavorable climate etc., we would be happy to refer you alternative trip of a similar standard. Even if this doesn’t fit your personal interest, all monies paid by you to our company will be refunded. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility.

 

11. CLIENTS' RESPONSIBLE
A tour / trek guide who represents Himalayan Sherpa World Expedition (P.) Ltd deserves all authority during your tours. If you commit any unlawful act, you are compelled to leave the tour. No refund will be made in such case.

 

12. IMPACT ON YOUR JOURNEY
We put our every effort to ensure comfortable traveling of yours, but it is must to understand that what you might be accustomed to in the western affluent countries, the Himalayan countries can’t afford such facilities. Weather is another factor that directly impact on your journey. Hence, patience in mind, enthusiasm and proper preparation before head is must to venture into journey.

 

13. TRAVEL INSURANCE
You must purchase comprehensive travel insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation etc. This is strongly suggested to all our esteemed clients.

 

14. TOUR AMENDMENT
To make alterations of any trek / tour itinerary, prior notice is requested. You’re advised to stay in touch with us thus. But occasionally, you may be obliged to do so en route under certain circumstance for instance bad weather etc.

 

15. YOUR PERSONAL BELONGINGS
On any account, we’re not answerable for any loss or damage of your luggage or property belonging to you even when shouldered by porters, ponies or vehicles. That means your personal possessions, luggage are at your risk at the times.

 

16. PAPERS AND DOCUMENTS
All necessary documents should be presented in sequence for example to issue visa, necessary permits etc. We’re not accountable in case of any trip formality not completed in time before the trip departs on the absent of essential papers and documents.

 

17. RISK & LIABILITIES:
We are committed to providing the best services which will give you a once in a life time journey in this connection, we perform our duties honestly & seriously to make your journey very smooth & pleasant. However, the entire programs in Nepal/Tibet/Bhutan are conducted strictly under the rules and regulation of theirs’ own policies.

 

There for Himalayan Sherpa World Expedition (P.) Ltd and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Land slide, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness or accident, Any extra cost incurring there of shall be borne by the clients on the spots.
